What Goes in a Shoot Schedule?

A shoot schedule is the running order for a production day. Include a date and time zone, start and end times for each activity, the crew needed, locations, equipment and production notes. Leave space for setup, breaks, travel, retakes and packing down, not just recording.

The sample above is a studio recording day. For a film shoot, put scene numbers in the activity field and cast names in the crew field. For a photo shoot, list each setup, outfit or location as its own block.

Plan the Day Around Your Crew

  1. Confirm who is required and when they are available before choosing the shoot date.
  2. Group activities by location and equipment setup to reduce travel and changeover time.
  3. Agree on realistic durations, include breaks and share the final schedule with everyone.
