How to Schedule Shoots With Your Whole Crew
Getting five busy creators in one room is often harder than the shoot itself. Here is a simple process that works for YouTube channels, podcasts, skit groups and photo teams of any size.
1. Decide who must be there
List everyone involved and mark who is required (hosts, main talent, camera) and who is optional (guests, extra hands). Only required people should block a time.
2. Collect real availability, not guesses
Group polls go stale fast. Instead, look at each person's actual calendar: work, personal and travel. Only the busy blocks matter, not the private details.
3. Agree on the crew's rules
Write down working hours, days off, how many shoots a day is too many, and how much travel time people need between locations. Rules like "never on Sundays" save arguments later.
4. Shortlist times everyone can make
Compare calendars against the rules and pick the two or three best slots. Favour times where every required person is free and optional people can join too.
5. Book it on everyone's calendar
Send one booking that lands in every attendee's calendar, with the location, what's included and notes. When plans change, move it once so nobody works from an old time.
